Writing an interview thank you letter after an interview is important because it can help you stand out from other applicants, and it’s another chance to impress your potential employer.

You need to follow a few guidelines, however, so you don’t slip up and give the employer a reason not to hire you. Thus, you want to write the letter as carefully as you would a cover letter and review it several times for accuracy, grammar, and typos. These should be written on stationary and mailed to the interviewers shortly after the interview, although you may use a thank you email if there’s little time or you know the interviewer will be away from the office.

How to Write an Interview Thank Your Letter

Similar to a cover letter, a thank you letter will have a heading at the top that features your name, address, phone number, and email address, aligned at the left margin or centered. Next, skip a space and write the date, and then skip another space and place the interviewer(s) name(s), followed by their title(s), the organization’s name, and its address. Here is an example:

Next address the interviewer as “Dear Mr./Ms. [last name]:” and then begin the content of the letter. First, thank the interviewer for the opportunity to discuss the position with you, and reference something specific from the conversation to reiterate this. For example, you can say you appreciate the interviewer’s time because of the specific project she said was taking so much time to manage.

Next, emphasize how after the interview, you feel you are an even better fit, and offer specific reasons why your skills apply to what you learned about the job in the interview. Also, tell the interviewer something specific you enjoyed about the discussion.

Here is a sample of the body of a thank you letter for a job interview.

Dear Mr./Ms. [last name]:

Thank you for speaking with me yesterday about [the position] with [organization], especially given your busy schedule [dealing with something specific you discussed in the interview]. It was a pleasure to meet you, and I enjoyed learning about [details about position/organization from interview]. After our discussion, I am confident that my [specific] skills and experience are the right match for [the position] because [specific reasons from interview].

I am quite enthusiastic about a potential career with [organization name] and would appreciate a follow-up as you continue in the hiring process. If you need any further information, please feel free to contact me by phone at [phone number] or at [email address]. Thank you again, and I look forward to hearing from you.

Finally, close the letter with the following format:
