There are many different types of attendance sheets, and each one would find its own use in different arenas.

A first example would be for the simple case of tracking attendance for a meeting. The meeting would be named and the date it is being held would be printed on the top of this Attendance Sheet. In this most simple example, there need be only two columns. The first would be for the attendee’s printed name, and the second would be for his or her signature. The signature would be collected as the attendees leave, assuring that they did, in fact, attend.

This type of attendance sheet is an excellent candidate for storage as a word processing file, assuming that the same list of attendees needed to be present at a number of different meetings to be held on different occasions. The only thing that would have to be changed before printing would be the name and date of the meeting.

There are situations where it is imperative to keep track of when a person arrives and when he or she leaves. A typical example of this type of attendance sheet would be for the case of a day care center.

How to Use an Attendance Sheet

The name of the child being tracked would be printed on the top of the form. There would be one column for the date. Then there would be another eight columns. One would be for the time the child is dropped off at the center, and a second for a teacher’s signature attesting to it. Then there would be a column for the time the child is returned to the parent, with the parent’s signature attesting to that. The last four columns, a repeat of the preceding four, would only need to be used on those days where the parent takes the child out of the facility for lunch or for an outing.

Another type of Attendance Sheet would serve to track student attendance over the course of a school semester. The first column would be for the student’s name. There would be one subsequent master column for each week in which the class is held, identified by the date on which Monday occurs for each week being tracked. There would be subsidiary columns under each master column for each day of the week on which the class takes place.

The subsidiary columns only need to be one character wide, because they only need to be marked with “Y” if the student attended, and “N” if he or she did not. If the class is held 5 days per week, this Attendance Sheet may have to be printed in a landscape orientation, to accommodate the many five column wide master columns. There will also need to be one last column at the right of the attendance sheet to tally the total number of absences for each student.

This type of Attendance Sheet is a very good candidate for a spreadsheet, which would be very useful in the task of automatically calculating attendances, and perhaps for calculating the overall attendance percentage for the student body as a whole.
